How to export data from Access to Excel

Did you know that you can export an Access database to an Excel worksheet?  In Microsoft Excel, there are features to import or export data from or to an Excel worksheet. When exporting data to Excel, Access creates a copy of the selected data and then stores the copied data in a file that can be open in Microsoft Excel. In Access, you can export tables, queries, forms, and reports, but you cannot export macros or modules to Excel. Exporting forms, reports, or datasheets that contain subforms, subreports, and subdatasheets, only the main form, report, or datasheet is exported.

How to export data from Access to Excel

Follow the steps below to export an Access database to Excel:

  1. Open an Access database file.
  2. Click the External Data tab.
  3. Click the Excel button in the Export group.
  4. Click Browse.
  5. Name the file, choose a folder to put the Export file, and click Save.
  6. Click OK.
  7. Click the Close button.
  8. Locate and open the file.

How to export data from Access to Excel

An Export – Excel Spreadsheet wizard dialog box will open.

Click the Browse button.

A File Save dialog box will open.

Name the file, choose a folder to put the Export file, and click Save.

Back at the Export – Excel Spreadsheet wizard dialog box, click OK.

Then close the dialog box

Locate the file that you exported to Excel and open it (It is an Excel File).

Can you copy an Access database?

Yes, you can copy an Access database to another folder. Open the folder that contains the Access database that you want to copy. Right-click the Access database file and select Copy from the context menu. Go to the folder that you want to paste the Access database; right-click and select Paste from the context menu.

How to export data from Access to Excel more than 65000 rows?

To export Access data which has more than 65000 rows with formatting and layout, you will need to set up a query to export 65000 rows at a time into separate spreadsheets. After that, you need to copy and paste them together into one spreadsheet.
